If you are involved in a spot of event planning, be that a corporate promotional event, a wedding or team building sort thing, then good organisation is absolutely necessary. Firstly you need to sit down and work out what are the goals and objectives for the event – what are you hoping to achieve? Do you have a target audience to capture and once you have established what you want to gain for all that effort and expense, then the rest of the planning process is easier. Work out a finely tuned budget. Take into account absolutely every item of expenditure you can possibly imagine, then if it comes in under budget, you can relax. Take into account the venue hire costs – these can be very costly and eat up the majority of a budget. Get quotes from different venues and the vendors attached to them. Check your chosen date is available on any hire quote. Not only for your own planning but any vendors or third party suppliers you wish to involve will also need to be free at that time.
Don’t forget insurance. Check with your own corporate or household insurers that the things you need cover for are available to you. Its no good assuming you are covered for all eventualities and then finding you are not if the very worst does happen. Using an Event Planning agent is very often an option. Although they have fees, they have best prices for some venues and suppliers. it’s a swings and roundabouts industry!
